How to Choose a Hotel Amenities Supplier (Without Getting Burned)

Choosing a hotel amenities supplier comes down to four checks: are they a real manufacturer or a middleman, can they prove their certifications, can they actually customize, and will they hit your lead times? Get those right and most sourcing problems disappear before they start.

First: are you talking to a manufacturer or a trading company?
This is the question that decides everything else. A large share of “suppliers” you’ll find online are trading companies — middlemen who buy from a factory and resell to you. There’s nothing illegal about it, but it costs you: an extra margin, slower answers to technical questions, and no control when something goes wrong on the line.
How to tell the difference:
- Ask a hard product question. “What’s the surfactant base in your shampoo, and can you adjust the viscosity?” A real manufacturer answers immediately. A middleman goes quiet or says “I’ll check with the factory.”
- Ask to see the factory. Real manufacturers show you the cleanroom, the lines, the R&D lab — by video call if you can’t visit. Vague answers are a red flag.
- Check the address and scale. A factory has a factory: production lines, warehouse, quality lab. We run a 10,000㎡ facility in Yangzhou Hangji — the global hub for hotel toiletry manufacturing — with 50 production lines and a 20-person R&D team.
Red flag: A “supplier” who can’t answer formula or production questions without checking elsewhere is reselling someone else’s products. You’re paying a margin for a phone-forwarding service.
Second: can they prove their certifications?
In bath and body care, certifications aren’t decoration — they’re the difference between compliant product and a liability you put on guests’ skin. Demand the documents, not the adjectives.
The ones that matter for hotel amenities:

Buying tip: Ask for the certificate number and validity date, not a logo on a PDF. Logos are easy to copy; a verifiable number is not. A supplier who hesitates here is telling you something.

Third: can they actually customize — or just relabel?
Most hotels don’t want a stock set; they want their own brand on it. But “customization” means very different things to different suppliers. Pin down exactly what’s on offer:
- Private label — your logo on existing products (most suppliers can do this)
- Custom packaging — your own box, sleeve, pouch design (fewer can)
- Custom formula and fragrance — a scent and formula developed for you (only real manufacturers with R&D can)
That last one is the real test. Developing a custom formula needs a lab and chemists, not just a printer. For example, a boutique group we work with wanted a single signature scent across bath care, lobby diffusers and hand wash. That’s a formula-development job — impossible for a middleman, routine for a manufacturer with a lab.
Fourth: will they hit your lead times?
This is where new openings get burned. Custom formulas and packaging take time to develop, produce and ship. A supplier who promises an unrealistic turnaround is either inexperienced or about to disappoint you at the worst possible moment.
Ask directly:
- What’s the realistic timeline for a custom formula vs. a private-label order?
- What’s the production capacity if I need to scale fast? (Ours is 150,000 sets a day, which matters for multi-property rollouts.)
- What happens if there’s a quality issue mid-order — who fixes it?
Buying tip: Start the supplier conversation months before a new opening, not weeks. The properties that struggle are the ones that treat amenities as a last-minute line item.
The price trap: why the lowest quote is usually a warning
Everyone wants a good price. But in amenities, the lowest quote is the one to scrutinize hardest. When a number comes in far below everyone else’s, it’s usually hiding one of these:
- A thinner formula — less active ingredient, cheaper surfactants. It smells and feels cheap, and guests mention it in reviews.
- Less product than stated — a 40ml bottle filled to 30ml.
- A missing certification — they’re cutting the compliance corner you’ll be liable for.
- Middleman margin disguised — a low headline price with costs added back later.
Cheap amenities don’t save money; they show up in your guest reviews, and that costs far more than the difference. Compare quotes on like-for-like spec — same fill, same formula grade, same certifications — or you’re not comparing anything.
A quick supplier checklist
Before you commit, you should be able to tick all of these:
- Confirmed they manufacture (not resell) — saw the factory or lab
- Have certificate numbers for ISO 9001, GMPC, plus FDA/RSPO/FSC as relevant
- Clear on what customization is included (label vs packaging vs formula)
- Realistic lead times and capacity for your volume
- Quotes compared on identical spec, not headline price
- A named contact for quality issues mid-order
